JOB SUMMARY

As the Repair Program Coordinator, you'll be the friendly and professional first face of our organization- welcoming clients, coordinating repairs, managing our front desk, and keeping things running smoothly behind the scenes. This is a unique role for someone who loves to help others, thrives on staying organized, and understands how vehicle repairs work. You’ll be part service advisor, part receptionist, and part client engagement specialist, with a front-row seat to the life-changing impact of reliable transportation.
JOB DUTIES AND RESPONSIBILITIES
Repair Program Support
- Serve as the primary point of contact for all repair program clients.
- Process referrals from partner agencies and track client progress using Salesforce and spreadsheets.
- Schedule, confirm, and follow up on all repair appointments.
- Monitor daily shop flow and collaborate with our automotive team to ensure timely service.
- Maintain accurate records, including payment plans, program forms, and appointment history.
- Follow up on no-shows and reschedule as needed to keep clients on track.
Front Desk & Client Experience
- Greet clients and guests with warmth and professionalism- in person and by phone.
- Provide clear communication about appointment logistics, program expectations, and payments.
- Keep the reception and waiting areas tidy, welcoming, and organized.
- Route inquiries appropriately and ensure follow-through on messages.
- Collect and process payments using the Square point-of-sale (POS) system.
- Issue receipts and maintain records of daily transactions.
- Handle cash, card, and electronic payments in line with organizational procedures.
- Reconcile payments and report any discrepancies.
JOB REQUIREMENTS (WHAT YOU BRING)
MUST HAVES:
- A heart for people and a passion for the mission of ChangingGears.
- Excellent organization skills—you keep track of details, deadlines, and appointments with ease.
- Experience working in a repair shop or car dealership (especially in a service advisor or front desk role).
- A welcoming, professional presence that helps every client feel seen and supported.
- Confidence using Google Workspace (Docs, Sheets, Calendar) and learning new systems.
- Ability to work on-site every day (this is an in-person role with no remote days).
NICE TO HAVES:
- Spanish fluency or conversational ability.
- Familiarity with Salesforce and/or Square POS.
- Experience serving individuals facing poverty, crisis, or other barriers to employment.
EDUCATIONAL REQUIREMENTS
- High School Degree / GED Required
- Bachelor's degree in a related field (or equivalent experience) Preferred
PHYSICAL REQUIREMENTS
- Able to sit and work on a computer for 2+ hours at a time
- Able to lift up to 25 pounds
TIME COMMITMENT
- 32 Hours/Week
- Monday through Thursday between 8am and 5pm, in person
- Must be available for occasional special events and meetings outside of regular hours COMPENSATION
- Hourly Rate: ~$25/hour (dependant on experience)
