St. Vincent de Paul Northern Kentucky is seeking a part-time Programs Administrative Coordinator to support call flow, case assignment, records, and administrative coordination for our Programs team. This role is a good fit for someone who is organized, detail-oriented, mission-minded, and wants their behind-the-scenes work to help neighbors in need receive timely and compassionate support.

Position: Programs Administrative Coordinator
Reports To: Case Support Manager
Status: Part-Time, Non-Exempt

Organization Overview

For 100 years, St. Vincent de Paul Northern Kentucky has provided emergency financial assistance and basic necessities to neighbors in need. More importantly, we share the love of God by offering hope, encouragement, and compassionate support to neighbors experiencing crisis.

Our work is carried out through a strong network of staff, parish-based Vincentian volunteers, community partners, and thrift store operations that help fund our mission. We serve neighbors through emergency assistance, food support, seasonal programs, resource connection, and compassionate person-to-person service.

Position Summary
The Programs Administrative Coordinator supports the daily operations of the Programs team, with primary responsibility for call flow, case assignment, and administrative coordination. This role ensures calls and cases are routed appropriately, information is organized and accurate, and administrative processes support the work of volunteers and staff.

JOB DUTIES
Call Center Operations
•    Assign incoming calls or cases to Vincentians in a timely and organized manner 
•    Monitor call center reports and workflow to support timely case movement and follow-up 
•    Support volunteers with process-related questions and documentation needs 
•    Ensure intake information is entered accurately and completely into Salesforce and related systems 
•    Communicate call flow or assignment issues to the Case Support Manager 

Administrative Support
•    Maintain organized and complete records related to cases, program activity, and call center operations 
•    Support data entry, documentation, tracking, and reporting as needed 
•    Organize invoices, files, and other program-related administrative records 
•    Support internal communication, scheduling, and coordination for program-related activities 

Operations Coordination
•    Maintain organized workflows and administrative systems for the Programs team 
•    Identify and communicate process issues or inefficiencies to the Case Support Manager 
•    Support implementation of administrative and operational process improvements as directed 
•    Maintain an organized and functional work environment 
•    Perform other duties as assigned 

POSITION REQUIREMENTS
•    Commitment to the mission and values of the Society of St. Vincent de Paul 
•    Strong organizational and administrative skills 
•    Ability to manage multiple tasks and prioritize work effectively 
•    Strong attention to detail and accuracy 
•    Ability to communicate clearly and professionally 
•    Comfort with technology and willingness to learn Salesforce and related systems 
•    Ability to maintain confidentiality 
•    Ability to work independently within assigned responsibilities 
•    Bilingual (English/Spanish) preferred
