This position oversees a wide range of responsibilities, including business operations, fundraising, marketing, communications, property management, volunteer coordination, and community engagement, while collaborating closely with staff, contractors, and the Board of Directors. The ideal candidate has a bachelor's degree, at least five years of nonprofit fundraising and grant writing experience, strong leadership and communication skills, fiscal and technology expertise, and a passion for supporting individuals with disabilities.

 OPERATIONS COORDINATOR JOB DESCRIPTION

Safe Haven Farms is a community of choice for adults with autism and other developmental disabilities offering residential, day and therapeutic equestrian programs in a farm setting. Founded in 2009 by a group of local parents in response to the lack of residential and vocational services for adults with developmental disabilities, Safe Haven Farms is a 501(c)3 non-profit organization located on 60 acres in Madison Township, Butler County, Ohio.

Role Description

The Operations Coordinator is accountable to the Executive Director. The Operations Coordinator is expected to assist the Executive Director achieve continuous progress toward long-term sustainability for Safe Haven Farms and to assure that the farm thrives and operates in such a manner as to provide safety, happiness, and well-being for those served.

We are searching for an individual to assume a variety of operational activities which include, but not limited to, business operations, fundraising, marketing, communications, property management, animal care/equestrian program oversight, volunteer operations, and community development.

This is currently a 32-hour per week position, with the option of becoming a 40-hour per week position after a 6-month period. Job requires 4 days onsite, with remote work not available at this time.

The Operations Coordinator has responsibility in the following areas:

  • Understand the enterprise. Thoroughly understand the mission of the organization, program participants and their needs, and the current state and future direction of each program area. Envision how the organization can continually improve on delivering its mission. Energize staff, volunteers, partners, and community members. Enable the organization to deliver on its mission.
  • Ensure capabilities meet the business needs. Provide the business with the capabilities to deliver against defined business needs. Ensure each capability has a strategic plan supported by the Board of Directors. Ensure the organization operates ethically and responsibly.
  • Ensure system integrity. Put in place, adhere to system, and process standards. Follow sound principles when making changes and enhancements. Ensure adequate testing, planning and communication before implementing changes.
  • Assists in overseeing operations. With the guidance of the ED, the OC will identify, prioritize, and implement changes and enhancements to meet changing business and technology needs. Manage the cost of the business operations and infrastructure. Aid with internal and external communications – with SHF Board members, contractors, and the direct service provider,
  • Understand the technology. Be familiar with accounting systems, websites, electronic newsletter technologies, social media, and digital fundraising tools.
  • Coordinate farm and facility needs. Work with and supervise property manager and maintenance assistant in addressing the structural and facility needs of the farm. Communicate with outside contractors for annual/semi-annual maintenance, repairs, and onsite projects (major/minor). Evaluate costs for new projects, seeking input from executive director and property manager, and final approval from Executive Director/Board of Directors. Coordinate with the horticulture lead in the purchase of garden supplies and equipment plus communications/marketing for garden programs, i.e., CSA and annual plant sale.

Candidate Qualifications

Minimum bachelor’s degree

5 years’ experience in grant writing, nonprofit fundraising, and event planning.

Excellent writing skills

Proven leadership ability

Fiscal management responsibility

Relationship building with stakeholders and community.

Technology competence

Highly motivated and self-starter

History of making positive differences for organizations and individuals

Interest in supporting persons with disabilities

Understanding of farm life/culture, desirable, but not required. (candidate will not be performing farm related tasks)
