Position Title: Operations Assistant 

Reports To: President & CEO 

Position Overview 

The Operations Assistant supports the smooth day-to-day functioning of the organization through administrative coordination, volunteer support, scheduling, customer service, and operational logistics. This role helps create an organized, welcoming, and efficient environment for volunteers, families, and team members while advancing Give Like A Mother’s mission. 

Key Responsibilities 

Volunteer Support & Coordination 

  • Monitor volunteer inquiries and coordinate scheduling for new volunteers.  
  • Assist with volunteer and group orientation/onboarding logistics in partnership with the Volunteer Coordinator.  
  • Prepare materials, organize volunteer workspaces, and restock supplies.  
  • Support volunteer check-in/check-out and ensure work areas are clean and organized.  
  • Use daily plans from the Volunteer Coordinator to assign volunteers to tasks and roles.  
  • Provide encouragement, problem-solving, and a positive experience for volunteers.  
  • Help plan volunteer meetings, events, and appreciation activities.  
  • Foster an inclusive, respectful, and compassionate volunteer culture.  

Customer & Family Support 

  • Answer agency phones and assist customers with inquiries and needs.  
  • Schedule shopping appointments and provide direct support to shoppers.  
  • Train volunteers to assist shoppers.  
  • Support families with clothing exchanges as needed.  

Operations & Administrative Support 

  • Maintain familiarity with organizational tasks and priorities.  
  • Utilize training modules/materials and assist with updates as needed.  
  • Support additional projects and duties that advance GLAM’s mission.  
  • Represent GLAM externally in a positive, professional, and collaborative manner.  

Performance Accountabilities 

  • Volunteers are well-trained, supported, and productive.  
  • High volunteer satisfaction and positive engagement.  
  • Accurate monthly tracking of volunteer hours and demographics.  
  • Organized, efficient, and prepared daily operations.  
  • Strong communication and teamwork across staff and volunteers.  
  • Commitment to continuous improvement and quality practices.

Work Schedule & Location 

  • Full-Time, 40 hours/week  
  • Onsite  
  • Monday–Friday, 9:00 a.m. – 4:30 p.m.  
  • Occasional evenings and weekends as needed
