Job Summary

FotoFocus is seeking a strategic and hands-on Finance & Operations Manager/Director to join its team during an exciting moment of growth. In 2026, FotoFocus anticipates the opening of the FotoFocus Center, a 14,700 square foot, purpose-built structure, designed to house photographic exhibitions and year-round programs, dramatically expanding the organization’s public programming. This position frequently interacts with contractual personnel, contractors, volunteers, visiting artists and additional stakeholders. As a member of the FotoFocus team, the Finance & Operations Manager/Director represents and promotes FotoFocus and its major signature events.

Founded in 2010 in Cincinnati, Ohio, FotoFocus is a nonprofit organization created to celebrate and champion photography as the medium of our time. FotoFocus presents lens-based signature programming including the FotoFocus Biennial, FotoFocus Symposium, FotoFocus Talks, and Film and Video programming. Additionally, FotoFocus has awarded over 550 grants to support partners presenting projects and educational programs that are accessible and engaging to the public. These initiatives are a vital part of what makes FotoFocus such an impactful contributor to the community and the larger art world.

Job Description

Job Description:

The Finance & Operations Manager/Director is a key member of the FotoFocus team and is responsible for all strategic financial matters and the oversight of the daily financial and operational business of FotoFocus, including human resources and building maintenance functions of the FotoFocus Center. Reporting to and working closely with the Executive Director, this position has the primary responsibility for FotoFocus’ financial operations and human resources matters, serves as the compliance officer regarding government or other foundation grants and restricted funds, as well as acting as the chief liaison with FotoFocus’ independent auditors and financial services partners. The Finance & Operations Manager/Director is also responsible for overseeing all functions related to the maintenance, preservation, and security of the FotoFocus Center.

Responsibilities include, but are not limited to:

Finance

  • Develop, implement, and ensure appropriate systems for financial and business affairs.
  • Work alongside executive team to develop and oversee annual budget
  • Prepare and distribute financial reports and quarterly statements to Executive Director, team members and/or Board of Directors
  • Oversee of payroll functions and required HR filings and taxes.
  • Prepare for non-employee compensation filing of 1099 Forms.
  • Prepare of materials necessary for CPA completion of the annual Form 990, followed by review and distribution of the draft 990 before final submission.

Administration and Human Resources

  • Maintain of institutional forms and records such as tax-exempt letter and IRS rulings, tax-exempt certificates as needed, Ohio Corporate Continued Existence Form.
  • Review contracts for liability and contractual commitments with the assistance of legal counsel as needed.
  • Oversee Commercial Package and D & O insurance Policies, including requests for Certificates of Insurance, additional insurance coverage, and insurance claims.
  • Prepare and submit grant reporting.
  • Submit and authorize bi-weekly payroll, maintain payroll records, tax filings, Workers’ Compensation and Unemployment forms.
  • Review, implement and administer employee health, dental, vision, life insurance benefits.
  • Assist in the hiring of employees. Maintain and retain of personnel files.
  • When necessary, offer employee support, hear and resolve employee grievances and disputes, counsel on employee relations.

Operations

  • Provide day-to-day leadership of the facilities and operations contracted staff to ensure daily operations success.
  • Oversee vendor selection and contracts for external vendors, including but not limited to security, housekeeping, facilities maintenance, etc.
  • Work with the Executive team on planning, timing, and execution of all facility maintenance projects.

Other duties as assigned.

Credentials, Experience and Characteristics:

  • Minimum 5 years’ experience as director of not-for-profit finance department, including development and strategic planning for organization.
  • Hands-on familiarity with financial functions, accounts receivable and payable, general ledger, payroll, reconciliations, preparation of income statement and balance sheet, budget development, monitoring, and projections, state and federal reporting.
  • Familiarity with computerized accounting systems, with proficiency in Intuit QuickBooks, MS Excel, Google Drive, etc.
  • Minimum 3 years’ experience with non-profit arts Board, including institutional policies and strategies, legal and compliance documents, corporate minutes and records.
  • Experience interfacing, maintaining, and strengthening relationships with key stakeholders and donors
  • Must be self-directed and work independently, as well as responsive to the needs of the FotoFocus team and constituents.
  • Professional and personable, able to positively represent FotoFocus in the arts community and general public.
