Job Summary

The Executive Administrator of the Cincinnati Architectural Mentoring Program (CAMP) serves as the organization’s primary administrator, strategist, and relationship‑builder. This part‑time, tax exempt role supports CAMP’s mission to introduce youth to architecture, design, and the built environment through mentorship, hands‑on learning, and community partnerships.

The Executive Director manages day‑to‑day operations, leads strategic planning, maintains compliance and organizational infrastructure, and strengthens partnerships with schools, nonprofits, and industry collaborators.

Job Description

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Organizational Leadership & Administration
  • Prepare monthly Board meeting agendas, distribute materials, and record meeting minutes.
  • Maintain CAMP’s Google Drive structure, ensuring organized, accessible documentation.
  • Maintain CAMP’s 501(c)(3) status, including required filings and compliance documentation.
  • Develop and maintain a 5‑year strategic plan aligned with CAMP’s mission and growth goals.
  • Track and update CAMP alumni (“Where Are They Now”) information for storytelling and impact reporting.
  1. Financial Oversight
  • Provide monthly financial status reports to the Board.
  • Support the Treasurer with basic bookkeeping documentation, budget tracking, and grant‑related financial reporting.
  1. Fundraising & Grants
  • Identify, research, and cultivate fundraising leads, including corporate partners, foundations, and individual donors.
  • Maintain a fundraising history and prospect pipeline.
  • Develop and implement an annual fundraising strategy.
  • Prepare and submit grant applications and all required grant reporting.
  1. Partnerships & Community Engagement
  • Maintain and grow relationships with parallel or complementary organizations, including:
    PAR‑Projects, Elementz, ABC, Design Lab, NaviGo, KaikerKids, Tools Foundation, Adopt-A-Class and school‑based programs.
  • Represent CAMP at community events, partner meetings, and education/career‑readiness initiatives.
  • Create Certificates of Completion for CAMP participants (“CAMPers”).
  • Produce a video or slide deck for presentations, outreach, and program promotion.
  1. School Outreach & Program Coordination
  • Maintain an up‑to‑date school contact list for Cincinnati and Northern Kentucky districts.
  • Maintain a school career day calendar and coordinate CAMP participation.
  • Support communication with teachers, counselors, and administrators regarding CAMP programming.
  1. Communications, Marketing & Digital Presence
  • Maintain and update CAMP’s social media accounts and website with program highlights, events, and announcements and manage the work of a social media consultant to develop and update these accounts.
  • Develop digital content that supports recruitment, fundraising, and community engagement.

Qualifications

  • Experience in nonprofit administration, education, youth programming, architecture/design, or related fields.
  • Strong organizational and project‑management skills.
  • Excellent written and verbal communication abilities.
  • Experience with fundraising, grant writing, or donor relations preferred.
  • Comfortable working independently and collaboratively with a volunteer board.
  • Proficiency with Microsoft Office and Google Workspace (Drive, Docs, Sheets, Slides).
  • Familiarity with Greater Cincinnati/NKY schools and community organizations is a plus.

Work Schedule & Compensation

  • Part‑time, flexible schedule (estimated 10–20 hours per week).
  • Some evening or weekend availability will be required for events or presentations.
  • Compensation commensurate with experience and scope of work. Please include requested hourly salary with your application.

Office

  • Primary location to be virtual office, CAMP Board may make arrangements for occasional office space.
  • Office equipment, smartphone and internet access provided by applicant.
  • CAMP Board will share its current and historical electronic files.
