For over 150 years, St. Vincent de Paul – Cincinnati (SVDP) has served residents of greater Cincinnati by providing essential services and resources to those in need. The Events and Partnership Assistant plays an integral role in supporting SVDP’s engagement efforts by assisting the External Relations team with events, drives, and partnerships that fuel SVDP's mission.
 
Position Summary
The Events & Partnership Manager supports the Director of Events & Community Engagement in the strategy, planning, and execution of SVDP’s events, drives, and partnerships. This hands-on, fast-paced role requires a collaborative, proactive, and highly organized professional who can manage multiple priorities, ensure seamless delivery, and advance SVDP’s mission.
 
Key Responsibilities
Events and Drives:
  • In collaboration with the Director of Events & Community Engagement, manage logistics for all SVDP events and drives.
  • Coordinate SVDP and community drives by securing participants and engaging with participating organizations.
  • Oversee scheduling and logistics for drive materials and donations and ensure timely post-drive communications with participants.
  • Respond to inquiries and coordinate outreach to vendors, attendees, sponsors, and volunteers via phone and email.
  • Organize, manage, and prepare event and engagement materials, including signage, displays, promotional items, and event-specific items such as name tags, paddles, programs, and participant packets.
  • Prepare, maintain, and update essential documents such as checklists, schedules, and contact lists.
  • Track and maintain accurate records of event attendees, drive participants, volunteers, sponsors, and partners.
  • Secure and coordinate vendors for food and beverage, décor, rentals, and other event services, managing timelines and expectations to ensure seamless event execution.
  • Solicit, secure, and manage in-kind donations - including raffle and silent auction items - while maintaining organized records of donated items, donor contacts, and recognition needs.
  • Collaborate with the Volunteer team to secure volunteer support for events and drives, ensuring volunteers are trained and equipped for their roles.
  • Assist with marketing and promotion efforts in partnership with the Marketing team.
  • Ensure event-day success by coordinating setup, registration, event flow, and teardown, and proactively resolving issues as they arise.
  • Lead post-event wrap-up, including unpacking, organizing, and storing supplies; preparing and sending acknowledgements; and participating in debriefs to evaluate outcomes and identify opportunities for improvement.
Partnerships:
  • Document, track, and maintain records of partnership activities, including sponsorships, donations, volunteer involvement, service learning, and in-kind contributions.
  • Maintain organized and detailed records of partnership information, relationships, and engagement.
  • Schedule and coordinate engagement activities, ensuring all related logistics are planned, recorded, and communicated to relevant staff.
  • Prepare partnership reports that highlight key contributions, volunteer involvement, and opportunities for growth.
  • Collaborate across departments to align partnership needs with organizational resources and goals.
  • Support relationship-building and stewardship efforts to strengthen existing partnerships and cultivate new opportunities.
Additional Support:
  • Perform additional duties as assigned, including special projects and initiatives.
  • Serve as backup support for the Volunteer team during PTO or other absences, ensuring continued volunteer operations.
Skills:
  • Highly organized and detail-oriented, with excellent time management and the ability to prioritize multiple responsibilities efficiently.
  • Excellent verbal and written communication skills, with a professional and customer-focused approach.
  • Strategic and goal-oriented, with strong problem-solving skills and the ability to work effectively with minimal supervision.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable learning new software.
  • Dependable, punctual, and accountable.
Qualifications
  • Bachelor’s degree in event planning, marketing, nonprofit management, or a related field.
  • 3-5+ years of experience in event planning with a proven track record of managing high-level events; experience in fundraising, relationship management, drives, in-kind donations, or equivalent roles is a plus.
  • Familiarity with DonorPerfect or a similar CRM database preferred.
  • Demonstrated passion for SVDP’s mission and a strong commitment to community service.
  • Valid driver's license and ability to travel local in accordance with job duties.
  • Flexibility to work occasional evenings and weekends.
Physical Requirements
  • Most job duties can be performed at a desk using standard office equipment; however, the role requires standing, walking, and bending for extended periods, particularly during events and drives.
  • Ability to lift and carry items weighing up to 25lbs.
