Donor Relations Coordinator, DCCH

The Donor Relations Coordinator is a vital member of the Advancement team at DCCH Center, responsible for managing donor records, coordinating donor acknowledgements, overseeing in-kind donation processes, and supporting donor appreciation events. This position plays a key role in fostering strong relationships with donors through timely and accurate communication and efficient data management.

Position Summary:
The Donor Relations Coordinator is a vital member of the Advancement team at DCCH Center, responsible for managing donor records, coordinating donor acknowledgements, overseeing in-kind donation processes, and supporting donor appreciation events. This position plays a key role in fostering strong relationships with donors through timely and accurate communication and efficient data management.
Key Responsibilities:
Donor Data Management
- Maintain and update donor records in the database (Every Action), ensuring accuracy and confidentiality.
- Process donations and generate reports for internal tracking, audits, Board meetings and performance measurement.
- Segment donor data for targeted communications and appeals.
- Partner collaboratively with Finance to ensure consistent reconciliation of gifts.
Acknowledgement and Stewardship Tracking
- Coordinate timely and personalized donor acknowledgements (letters, emails, notes).
- Monitor donor touchpoints and ensure follow-through on stewardship plans.
- Assist with developing content for donor communications related to giving impact and recognition.
In-Kind Donations Management
- Serve as primary point of contact for in-kind donors.
- Track, log, and acknowledge all in-kind donations.
- Coordinate the intake, organization, and distribution of in-kind gifts in collaboration with program staff.
- Maintain inventory records and documentation for compliance and reporting.
Event Support and Donor Engagement
- Provide administrative and logistical support for donor recognition and appreciation events (e.g., invitation tracking, RSVPs, materials).
- Assist in planning and executing small stewardship gatherings and community outreach activities.
- Support cultivation efforts by preparing donor packets, event follow-ups, and personalized outreach materials.
- Serve as co-lead Support for Sponsorship solicitation for Swing into Spring.
- Lead agency tours with new donors as needed.
Qualifications:
- Associate’s or Bachelor’s degree in nonprofit management, business administration, communications, or related field preferred.
- At least 1–2 years of experience in a nonprofit setting, with exposure to donor relations, data entry, or fundraising support.
- Strong attention to detail and organizational skills.
- Proficiency with donor database (EveryAction) and Microsoft Office Suite.
- Excellent interpersonal and written communication skills.
- Ability to handle confidential information with discretion.
- Strong team player who is also self-directed and dependable.
Physical Requirements and Work Environment:
- Primarily an office-based position with occasional local travel for events.
- May require lifting or transporting donation items or event materials (up to 25 lbs).
- Evening or weekend availability occasionally required for events or deadlines.
