Director of Operations
The Director of Operations will be responsible for providing financial support, accreditation compliance, administrative management, project acquisition administration and fundraising support. Helping staff with real-time budget development and tracking project expenses across all program areas will also be a part of their job. They will work closely with the Executive Director, Land Manager and Development Manager. The office is located in Loveland, Ohio.

DIRECTOR OF OPERATIONS

Cardinal Land Conservancy Inc. ("CLC") is an Ohio non-profit corporation whose
mission is: “To preserve natural habitats, waterways and productive lands we love by working
with individuals, families and communities.” Cardinal works throughout the region to
preserve agricultural lands through conservation easements as well as purchasing lands
important for conservation to own and manage for the conservation benefit. We
continuously seek to attract new members and donors through communications and
events. Cardinal Land Conservancy is headquartered in Loveland, Ohio.
The Director of Operations is a full-time employee reporting to the Executive Director with
some direct supervision responsibilities. The position is expected to work in the Loveland
office with some flexibility available.
PRIMARY RESPONSIBILITIES
Financial Support
• Support the Executive Director and Finance Committee with budget development and
monitoring. Support the Development Director with monthly reconciliations and budget
review.
• Support the Land Manager and Bahr Farm Facilities Manager with monthly budget review.
• Assist the contracted CPA with accounts payable/receivable.
Accreditation Monitoring and Compliance –
• Review the accreditation requirements manual from the Land Trust Alliance’s
Accreditation Commission to ensure continuous compliance with all indicator elements
organized into Governance, Finance, Transactions and Stewardship.
• Annually record the monitoring dates for all conservation easements and fee simple
properties.
• Assist Stewardship Team with monitoring violation documentation and reporting. Write
memos for title reviews explaining action/non-action.
• Assist Secretary and Committee Chairs with adherence to accreditation requirements.
Administrative Office Management
• Manage the day-to-day operations of the office to include accounts payable/receivable,
bank deposits, mail retrieval & distribution, IT support, Cardinal Calendar, etc.
• Assist Executive Director with human resource matters.
• Maintain office efficiency by planning and implementing office systems.
• Design and implement office policies following our standards and practices, measuring
results and making necessary adjustments.
• Record staff meeting minutes.

Board & Committee Management and Support
• Assist Secretary and Committee Chairs with the creation of monthly meeting agendas.
• Distribute monthly Board agenda and package and record the meeting minutes.
• Record the Committee meeting minutes when assigned.
• Ensure proper tracking and document storage regarding minutes, packages, resolutions, etc.
to be in compliance with accreditation requirements.
• Assist Board President and Executive Director to onboard new board members.
Project Acquisition Administration
• Assist the Executive Director with property acquisition by tracking and managing necessary
elements from title review through closing ensuring compliance with accreditation
requirements in all areas.
• Coordinate with staff and external agencies to fulfill all acquisition elements.
Fundraising/Development Support
• Assist the Development Manager with implementing fundraising activities and event
logistics.
Staffing
• Assist Executive Director in identifying and filling staffing needs.
SPECIFIC DUTIES
• Develop and manage the Operations annual work plan and budget.
• Oversee physical and virtual office administration including receptionist functions,
safety and accessibility of the office environment and operational support for staff,
events, and meetings.
• Oversee the outsourced managed services providers, IT infrastructure, hardware
management, vendor management, user support services.
• Implement and support effective user-centered technology solutions that best serve
the strategic needs of the organization.
• Identify and champion opportunities for streamlining and improvement of
technology, including integration across applications and workstream efficiencies.
• Manage policy and compliance for cybersecurity, data privacy, and IT governance.
• Develop and manage an equitable contracting and procurement system. Support staff
who select/manage vendors by ensuring clear policies, templates and training are in
place.
• Ensure operational policies, systems, resources, and training for effective office
administration, security, safety, technology support, and emergency protocols.
• Serve as primary contact with building management on office services and
maintenance.

• Bachelor’s degree
• Minimum of 5 years relevant experience in operations

WORK HOURS AND BENEFITS
This position is considered a full-time exempt position with a salary range from $55,00-$65,000
per year. This position is considered in-person (not remote). Hours worked should be 40 hours per
week or 80 hours every pay period. Pay is every two weeks. Professional development
opportunities are encouraged and hours are flexible including working from home when necessary.
Performance appraisals are completed every year and salary increases are determined at that time.
Employees over 30 hours per week are eligible for health, dental, vision, short-term disability,
long-term disability, life insurance and retirement benefits offered by Cardinal. Some travel may be
required and reimbursed according to policy. This employee is classified as an At Will employee.
