This part-time, onsite position is 24 hours per week and is ideal for someone who enjoys serving others, keeping systems organized, and supporting the ministry of the church through excellent administration.

Church Administrative Assistant – Finance and Operations

Position Type: Part-time, 24 hours per week, onsite

Reports To: Pastor and the Session through the Clerk of Session

Work Location: Church office

Classification: Non-exempt, hourly.

Position Summary

The Church Administrative Assistant – Finance and Operations provides dependable, confidential, and welcoming support for the church office. This position serves as a primary point of contact for members, visitors, vendors, staff, and ministry leaders while assisting with accurate financial administration, including recordkeeping, payment processing, reporting, and coordination with church leadership and finance volunteers.

Key Responsibilities

Office Administration and Communication

  • Welcome and assist members, guests, volunteers, vendors, and community contacts with professionalism, warmth, and discretion.
  • Answer phones, respond to emails, route messages, manage mail, and support clear and timely office communications.
  • Maintain the church calendar, schedule meetings and facility use, and coordinate room reservations and event logistics.
  • Prepare weekly bulletins, newsletters, announcements, letters, reports, meeting materials, and other church communications.
  • Coordinate office supplies, copier support, equipment needs, and general office organization to maintain an efficient work environment.

Digital Communications, Records, and Ministry Support

  • Maintain and update the church website on a regular schedule, coordinate with the technology team on redesigns, and track website metrics as needed.
  • Maintain and update the church’s social media presence.
  • Collaborate with the Clerk of the Session to maintain church records, databases, directories, attendance records, membership information, and confidential files.
  • Provide administrative support to the pastor, Session, staff, committees, ministry leaders, and volunteers.
  • Coordinate ministry communications and assist with special projects as assigned.

Financial Administration

  • Process accounts payable by receiving invoices, preparing payments, maintaining documentation, and confirming required approvals.
  • Accurately record deposits, contributions, payments, reimbursements, and expenses in Servant Keeper and QuickBooks.
  • Submit payroll data through QuickBooks accurately and on schedule to support timely processing.
  • Maintain confidential financial records, contribution records, vendor files, and supporting documentation in accordance with church policies.
  • Prepare contribution statements, donor acknowledgments, and giving reports as requested.
  • Coordinate with the treasurer, finance committee, pastor, counters, outside payroll provider, bookkeeper, or accountant, as applicable.
  • Fulfill financial responsibilities with accuracy, transparency, confidentiality, and integrity, following established internal controls.

Qualifications and Skills

  • High school diploma or equivalent required; associate degree, bookkeeping coursework, or related training preferred.
  • Prior experience in administration, office management, bookkeeping, accounting support, nonprofit operations, or church office work preferred.
  • Strong computer skills, including Microsoft Office 365 and QuickBooks, with comfort using church management, accounting, payroll, and database systems. Experience with G-Mail, Constant Contact, Wix, Adobe Acrobat, and Servant Keeper is a plus.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, accuracy, organization, and follow-through.
  • Ability to manage multiple priorities, meet deadlines, work independently, and collaborate effectively with staff and volunteers.
  • Demonstrated discretion and sound judgment in handling pastoral, personnel, member, donor, and financial information.
  • A professional, welcoming, and service-oriented approach that reflects the church’s mission and values.

Schedule and Work Environment

This part-time, onsite role is scheduled for 24 hours per week. Church leadership will set regular office hours and a consistent weekly schedule to support office operations, member and visitor assistance, records management, communications, and financial processes. Weekend work, including Sundays, and after-hours meetings or calls are not required unless arranged in advance.

Compensation

Compensation will be based on experience and qualifications. Any applicable benefits, paid time off, holidays, and other employment terms will be discussed during the hiring process and provided in accordance with church policy.
