Job Summary

The Farmer Family Foundation seeks an Administrator / Junior Program Officer based in Cincinnati, Ohio. The Administrator / Junior Program Officer will report to the Executive Director and assist in the administration of the Foundation.   

Job Description

Principal Duties and Responsibilities

  • Support the Executive Director and Program Officers in administrative, office management, and grant management, including scheduling, correspondence, communication with various constituencies, and special projects. This includes working with current and prospective grantees, preview of proposals, assisting with due diligence and initial research, preparing committee and board materials, responding to requests for grant applications, and monitoring current grants.
  • Manage grant management database (currently Foundant), and track and report on requests.
  • Respond to inquiries regarding the Foundation’s grantmaking guidelines, from the proposal submission through the reporting process.
  • Assemble quarterly Board reports, including developing agendas, materials, and financial and grant summaries.
  • Maintain grant files, ensuring files are complete, accurate and current, utilizing grant management software.
  • Maintain and report on statistical information regarding grantmaking activity.
  • Track multi-year grants, matching gift grants, and funding from family line funds; report review, analysis and feedback.
  • Support Program Officers with grant documentation.
  • Draft, edit and produce quarterly newsletter, including creating layout and design.
  • Represent the Foundation as appropriate.
  • Other projects and assignments as requested by the Foundation’s Board or Executive Director.

Qualifications

  • Bachelor’s degree from accredited college or university preferred.
  • A minimum of 3 years’ experience in a related for-profit, non-profit or philanthropic environment.
  • Strong interpersonal skills. Proven ability to work as a team player with diverse groups of people.
  • Strong writing, research and analytical skills.
  • Organized self-starter who can multi-task and requires minimal supervision.
  • Strong verbal and written communication skills, including experience preparing and proofreading materials and correspondence.
  • Demonstrated ability to execute tasks with accuracy, consistency, efficiency, and attention to detail.
  • Proficiency with Microsoft Office; knowledge of grant management database software preferred.
  • Ability to exercise discretion and good judgement when working with confidential information.
  • Ability and willingness to travel on an occasional basis.
