The Part-Time Administrator provides essential administrative and operational support to ensure the efficient day-to-day functioning of the Foundation. This role supports fundraising activities, board operations, financial administration, and communications, and serves as a key point of contact for stakeholders.

Job Title:                    Part-Time Administrator

Organization:            Indian Hill Foundation, a 501(c)(3) not-for-profit organization

Location:                    Cincinnati, Ohio

Hours:                        Part-time (approximately 20 hours per week in office)

Position Summary

The Part-Time Administrator provides essential administrative and operational support to ensure the efficient day-to-day functioning of the Foundation. This role supports fundraising activities, board operations, financial administration, and communications, and serves as a key point of contact for stakeholders.

Key Responsibilities

  • Administrative & Operational Support
  • Manage general correspondence, emails, phone calls, and inquiries
  • Maintain digital and physical records, files, and databases
  • Schedule meetings and prepare agendas and materials
  • Support day-to-day office operations and administrative tasks
  • Board & Governance Support
  • Maintain board records, policies, and compliance documentation
  • Assist with fundraising campaigns, events, and donor communications
  • Maintain donor database and acknowledge donations (thank-you letters, receipts)
  • Financial & Reporting Support
  • Assist with basic bookkeeping tasks, expense tracking, and invoice processing
  • Coordinate with external accountants or auditors, as applicable
  • Develop and manage newsletters, email communications, website updates and social media content
  • Coordinate marketing and outreach materials to promote Foundation initiatives and impact 

Qualifications

  • High school diploma or equivalent (associate’s degree preferred)
  • 2+ years of financial operations, administrative or office support experience
  • Proficiency with common office software (Microsoft Office, Google Workspace)
  • Excellent written and verbal communication, organizational and time-management skills
  • Ability to handle confidential information with discretion

Compensation

Hourly rate: $30.00, commensurate with experience
