Job Summary

The Acquisition & Pipeline Development Coordinator serves as the bridge between the Marketing, Mission Teams, and Development departments, ensuring individuals who engage with Back2Back—through events, mission trips, sponsorship, or digital campaigns— are intentionally nurtured toward deeper relationships and giving.

This position manages the donor journey at the top and middle of the pipeline, turning engagement into generosity through consistent follow-up, partnership with marketing campaigns, and proactive movement of potential donors into qualified relationships for Development Officers. The role relies on data support from NPact (RE NXT database management partner) and automation tools to ensure communication is efficient, personalized, and timely.

Job Description

PRIMARY RESPONSIBILITIES:


Donor Acquisition & Reactivation
● Implement workflows to identify and engage lapsed donors, new leads, and unassigned constituents.
● Partner with Marketing to track and respond to leads generated through digital campaigns, speaking events, or mission trips.
● Coordinate timely follow-up through personalized touchpoints (emails, calls, handwritten notes).
● Record engagement activity and status updates in RE NXT in collaboration with NPact.

Pipeline Movement
● Oversee donor progression from initial contact to qualified prospect for Development Officers.
● Collaborate with Development to transfer qualified leads with full context and engagement history.
● Monitor conversion metrics and provide weekly reports on pipeline activity.
● Maintain dashboards summarizing acquisition, reactivation, and donor movement trends.

Campaign Collaboration
● Work with Marketing to define audience segmentation and messaging for acquisition and reactivation campaigns.
● Track mission trip participants, event attendees, and other new contacts for consistent follow-up.
● Support post-event engagement by coordinating thank-you communications, updates, and next-step invitations.

Data & Reporting Alignment
● Coordinate with NPact and the Advancement Director to ensure data integrity for segmentation and tracking.
● Analyze lead source performance and donor lifecycle trends to inform strategy.
● Document and refine lead capture, scoring, and follow-up processes for scalability.

Strategic Support
● Partner with the Advancement Director to develop and implement donor movement strategies.
● Participate in Advancement meetings to share results and insights.
● Maintain awareness of Back2Back’s key initiatives and ensure alignment across communication and engagement touchpoints.

Key Success Measures
● Growth in new and reactivated donor counts.
● Increased conversion rates from event attendee → donor → recurring giver.
● Reduced time from first engagement to first gift.
● Consistent and timely follow-up of all qualified leads.
● Improved Development Officer satisfaction with lead quality and readiness.

Through intentional follow-up, strategic coordination, and a clear understanding of the donor journey, the Acquisition & Pipeline Development Coordinator ensures that every new connection has a defined and meaningful path toward deeper involvement and giving.


MINIMUM QUALIFICATIONS


Education/ License/Certification
Required: Bachelor’s degree in Marketing, Communications, Business, Data Analytics, or related field.
Preferred: Certification or coursework in Fundraising, Nonprofit Management, or CRM Data Analytics.

Experience
● Background in fundraising, marketing, donor development, or sales pipeline management.

License/Certification
● None required. CFRE or comparable fundraising certification preferred but not required.

Technology
● Proficient in Microsoft Office and Google Workspace.
● Demonstrated ability to use, research, and interpret data within CRM systems (Raiser’s Edge NXT strongly preferred).
● Comfortable generating and analyzing donor reports, building queries, and collaborating with NPact to refine segmentation and scoring models.

Work Environment & Physical Demands
This position is based primarily in-office at Back2Back’s U.S. Headquarters in Mason, Ohio. The work environment is collaborative and fast-paced, requiring regular interaction with team members across departments. Daily responsibilities involve extensive computer use, data entry, and coordination of donor and campaign activity. The role requires consistent presence in the office to support cross-departmental communication, timely response to donor and data needs, and alignment with NPact consulting and Marketing team operations. Physical demands are typical of a professional office setting and include sitting or standing for extended periods, operating standard office equipment, and occasional lifting of materials up to 25 pounds. Occasional participation in on-site events or mission team send-offs may be required, with minimal travel for meetings or training as assigned.
